Thymely CRM Privacy Policy

Who we are

Thymely CRM is an internal business system operated by Aromahead LLC, 247 Westgate Way, Florence, Montana, United States. Only Aromahead LLC team members can sign in. It is not offered to the public.

YouTube API Services

Thymely CRM uses YouTube API Services to manage YouTube channels that Aromahead LLC owns or manages. Use of those features is subject to the YouTube Terms of Service. Google describes how it handles data in the Google Privacy Policy.

What we access

When an authorized team member connects a YouTube channel, that person allows Thymely CRM to:

  • upload videos to the channel,
  • view and edit the channel’s videos, titles, descriptions, thumbnails, publish schedules, playlists and captions,
  • view, reply to, moderate and delete comments on the channel’s videos,
  • read the live chat during our live streams.

This includes what viewers post publicly on our videos and streams: the comment or chat text, the author’s public display name and channel ID, and when it was posted.

What we keep, and for how long

  • Access credentials. Encrypted, and kept only while the channel stays connected.
  • Video records. Titles, descriptions, schedules and upload status for videos managed through Thymely CRM. We refresh them from YouTube at least every 30 days, or delete them.
  • Comments on our videos.We refresh the comment text from YouTube at least every 30 days and delete it when it is removed on YouTube or no longer available. We don’t keep commenters’ names or channel IDs.
  • Live chat from our streams.We keep the message text and the display name the viewer used as part of each event’s record, along with our own analysis of it, such as topics, questions and sentiment.
  • Channel statistics, such as view counts. Kept for reporting while the channel’s authorization stays active, which we confirm at least every 30 days.

How we use it

We use this information to publish and manage our channels’ videos, playlists and captions, and to read and answer viewer comments. Automated classification sorts comments and chat by topic, so our educators can answer common questions and plan new lessons.

We don’t sell this information or use it for advertising. We don’t share it outside Aromahead LLC, except with the service providers that host our systems, who process it only on our behalf.

Cookies

Thymely CRM uses essential cookies to keep team members signed in and to protect their sessions. It does not use advertising or analytics cookies.

Revoking access

A channel can be disconnected in Thymely CRM at any time. The channel owner can also revoke Thymely CRM’s access in Google’s security settings. When access is revoked, we delete the stored credentials right away, and all data obtained through that authorization within 7 days.
